INFORMATION NOTICE ON THE PROTECTION OF PERSONAL DATA
PURSUANT TO THE LAW NO. 6698 ON THE PROTECTION OF PERSONAL DATA (KVKK)
As TASECS İKLİMLENDİRME A.Ş. (Tasecs/Company), established in Türkiye, acting in the capacity of data controller, we hereby inform you that your personal data, which we obtain through the methods specified below depending on the circumstances, within the scope of our commercial relations or our business relationship with you, will be recorded, stored, preserved, reorganized, shared with institutions legally authorized to request such personal data, and transferred domestically or abroad to third parties, assigned, classified, and otherwise processed as stipulated under the Law No. 6698 on the Protection of Personal Data (KVKK), effective as of April 7, 2016, in a manner that is relevant, limited, and proportionate to the purposes requiring such processing, while ensuring the accuracy and up-to-date status of the personal data as notified to us or as provided.
Our Company takes all necessary technical and administrative measures to ensure an adequate level of security in order to prevent unlawful processing of personal data, prevent unlawful access, and ensure their protection.
Our Purpose:
We would like to state that any personal data requested by Tasecs/our Company and provided to Tasecs/our Company shall not be used outside the processing purposes specified herein in accordance with KVKK, and shall not be transferred or disclosed to third parties without explicit consent or without reasons stipulated by law and/or legislation.
PROCESSED PERSONAL DATA
Personal data relating to applicants and employees provided to us may be processed. Your personal data subject to processing may include, but is not limited to, the following. We reserve the right to process additional data not listed below in case of necessity. In general, processed data include identity data, contact data, financial data, special categories of personal data, education data, visual and audio data, employee performance and career development data, family and relative data, employment data, leave data, and other data.
Identity Data:
Name, surname, date of birth, country and city of birth, gender, marital status, nationality, Turkish ID card information (TCKN, serial number, wallet number, father’s name, mother’s name, place of birth, province, district, neighborhood, volume number, family order number, order number, household number, page number, registry number, place of issuance, reason for issuance, date of issuance, previous surname), copy of identity card.
Contact Data:
Telephone number, full address information, e-mail address, internal company contact information (extension number, corporate e-mail address).
Financial Data:
Financial and salary details, payrolls, bonus entitlements and amounts, enforcement proceeding files and debt information, bank account booklet, bank IBAN information, asset declaration, minimum living allowance information, private health insurance amount.
Special Categories of Personal Data:
Union membership, criminal record/former conviction status, disability status/description/percentage, religion, health data, blood type, private health insurance policy, medical reports, pre-employment medical report, chest X-ray, hearing test, eye test, employment and periodic examination forms signed by workplace physician, pregnancy status and reports, health and maternity leave information, association/foundation memberships.
Education Data:
Educational background, certificate and diploma information, foreign language skills, education and competencies, CV, photographs submitted to systems, attended courses, obtained certificates, meeting information.
Biometric Data:
Palm print data, fingerprint data, retinal scan data, facial recognition data, etc.
Visual and Audio Data:
Still or moving images and/or audio recordings of locations and participants during conferences, seminars, exhibitions, debates, fairs, and similar events organized by the Company for promotion and communication purposes; visual and audio data from online meetings, trainings, briefings, and interviews conducted via digital platforms; personal photo, audio, and camera recordings.
Employee Performance and Career Development Data:
Education and skills, training dates and content, e-mails, signed attendance forms, customer meeting quality evaluation forms, monthly performance evaluations and reports, achievement of targets, activity information.
Family and Relative Data:
Marriage certificate, spouse and children’s name, surname, Turkish ID number, gender, date of birth, height, weight, position, profession, phone number; relatives’ name, surname, phone numbers, professions.
Employment Data:
Employee ID number, position title, department and unit, job title, latest employment start date, entry and exit dates, insurance entry/retirement dates and numbers, allocation number, social security number, TTF number, tax office number, flexible working hours information, holding registry number, travel status, pension fund entry date and registry number, Bağ-Kur entry date and registry number, accounting code, number of working days, projects worked on, monthly total overtime, severance pay base date, additional severance days, strike days.
Leave Data:
Leave entitlement base date, additional leave days, leave group, leave start/return dates, duration, reason for leave, address/phone number during leave.
Cookie Data:
Small files saved to users’ computers or mobile devices that help store preferences and other information related to visited web pages.
Other Data:
Military service information, vehicle license plate, vehicle registration copy, vehicle mileage, vehicle location, driver’s license copy, traffic fine inquiry results, special fund information, shoe size, clothing size, height, weight, martyr’s relative status, intern status, shuttle service information, internet access logs, entry-exit logs, IP address information, login credentials to electronic systems, turnstile records, daily employee activity data.
LEGAL GROUNDS FOR PROCESSING PERSONAL DATA
As Tasecs/Company, we collect your personal data in order to fulfill our legal obligations toward employees and third parties with whom we have commercial relationships, to perform employment contracts, based on legal grounds stipulated in laws, and for the legitimate interests of the Company. Data are collected through physical or electronic submission by you, through company systems, platforms, servers, or via third-party employment platforms.
Data such as entry-exit times are collected through systems to ensure workplace security and fulfill legal obligations. Vehicle usage data are collected via tracking devices installed in company vehicles where a company vehicle is assigned. Camera recordings are collected for workplace security. Audio recordings are collected for training and quality purposes. Health data are collected via workplace physicians to fulfill legal obligations. Legal documents and notifications are collected to comply with legal requirements.
Pursuant to Article 4 of KVKK, personal data are processed in accordance with the principles of lawfulness, accuracy, purpose limitation, proportionality, and retention for the required period.
PURPOSES OF PROCESSING PERSONAL DATA
Personal data may be processed for purposes including but not limited to:
- Execution of commercial relationships with third parties.
- Fulfillment of employment contracts, payroll, leave management, termination processes, and salary payments.
- Compliance with labor, social security, occupational health and safety legislation, SGK and İŞKUR notifications, incentive calculations, accident reporting, and legal obligations.
- Compliance with regulatory authorities, court decisions, and ensuring workplace security.
- Customer relationship management, complaint handling, service quality evaluation, and training.
- Company administration, performance monitoring, expense payments, communication, training planning and reporting.
- Vehicle assignment, usage tracking, and employee safety.
- Logistics, travel organization, IT account creation, research projects, recruitment processes, celebrations, quality control, emergency communication, and satisfaction surveys.
Personal data shall be retained for the maximum period required by legislation or the purpose of processing.
SHARING OF PERSONAL DATA WITH THIRD PARTIES
Personal data may be shared with authorized public institutions, regulatory bodies, business partners, suppliers, service providers, banks, consultants, auditors, and legal authorities in Türkiye and abroad, in compliance with applicable laws and for the stated purposes.
YOUR RIGHTS UNDER ARTICLE 11 OF KVKK
You have the right to:
- Learn whether your personal data are processed,
- Request information if processed,
- Learn the purpose of processing and whether data are used accordingly,
- Know third parties to whom data are transferred domestically or abroad,
- Request correction of incomplete or inaccurate data,
- Request deletion or destruction under Article 7 of KVKK,
- Object to adverse outcomes resulting from automated processing,
- Request compensation for damages arising from unlawful processing.
Requests may be submitted in writing or through methods determined by the Personal Data Protection Board.
